How Do I Launch A Participant Into A Workflow?

Learn how to launch participants manually into Enboarder workflows here!

There are multiple ways of launching workflows in Enboarder! Manually, Bulk upload, CSV upload, and through integration!

To launch an employee into Enboarder, the required fields are:

  • Employee full name

  • Employee contact (email or mobile)

  • Direct Manager full name

  • Direct Manager contact (email or mobile)

  • Employee key date (start date for onboarding, last date of employment for offboarding etc)

Any extra fields that you wish to include as part of your workflow can be configured using Categories, Custom Fields and Locations.

Launch a workflow manually:

Step one: Click the Launch Workflow button. This can be found within the Workflow tab. The button will be in the center of the screen:

Step Two: After clicking the Launch Workflow button, you will see this screen:

NOTE: If you are testing a workflow, make sure that you tick the 'Test' box so that your workflow allocation won't be deducted.

From here, you will need to fill in the employees' name(s), contact info, and key date. If you have multiple employees with the same key date, and the same manager, you can add them all in one go! (As below).

Step Three: Click Next and select your categories like brand, location, and any others that you've created. 

After you've updated your categories, always double-check that the correct Workflow has been selected as it may auto-update in line with your workflow logic.

Step Four: If your workflow contains any Custom Fields, you can enter them here (keep in mind, if you are launching multiple participants, the fields here will apply to all of them.)

Step Five: Enter the relevant stakeholder details

Step Six: Click Launch Workflow! Woo-hoo, you're officially blasting off! 🚀


To launch a workflow using Bulk Upload:

Another way of launching workflows is by using our Bulk Upload function (by clicking the Upload CSV button on the Launch Workflow screen) using a CSV file. This makes it easy to upload up to 1000 people at once! Simply create a CSV with three columns:

First name | Last name | Contact details (Mobile or Email)

Using this feature, you are launching all employees into the same workflow, with the same start date and same details (categories, stakeholders, etc) and so this way of launching is great for workflows such as internal communications, etc.

NOTE: If you're planning on using this process, all you need is first name in column A, last name in column B, and contact details (email OR phone number) in column C. This function should only be used where the employees have the same stakeholders and start dates.


Launch using a CSV Upload (Both Automatic and Manual upload):

In settings, you'll also find CSV Upload which unlike Bulk Upload above, allows you to launch multiple employees with different start dates, different workflows, different managers, etc.

Launch using Audience Filters ✨

Launch workflows to the right people — no CSV required.

Your employee profiles already live in Enboarder. Now you can use them to launch workflows directly. With Audience Filters, you can select a saved cohort of employees — by department, location, role, or any profile attribute — and launch them into a workflow in just a few clicks.

Note: This feature requires Unique Profiles to be enabled on your account. Contact your Customer Success Manager if you're unsure.

How it works:

  1. Click Launch Workflow and select your workflow.

  2. Choose Audience Filters as your launch method.

  3. Apply filters — by department, location, role, or any profile attribute — to define your audience.

  4. Review the matched employees, then click Launch.

Every launch produces a downloadable log showing exactly who was included — a clear record when compliance teams come asking.

A note for frontline and deskless teams:

If a large part of your workforce doesn't sit at a desk — retail, hospitality, healthcare, manufacturing, field teams — Audience Filters removes one of your biggest operational headaches. Reaching frontline employees with policy updates or surveys has traditionally meant exporting employee lists, reconciling spreadsheets, and re-uploading CSVs for every single launch. Now you can filter by location, site, brand, or employment type and launch in a few clicks — your registry in Enboarder is the only list you need. Combined with Enboarder's mobile-first delivery, your communications reach frontline employees where they are.

Tip: If your workforce changes frequently, keeping your employee registry synced via an HRIS integration means your saved filters always reflect your current team at launch time. Talk to your CSM about integration options.

Good to know

  • This feature requires Unique Profiles to be enabled on your account — contact your Customer Success Manager if you're unsure.

  • Audience Filters work best with workflows where sequences are sent to all launched employees.

  • Your audience is selected at the time of launch based on current profile data.


Launch a workflow through Integration:

The final way is through your existing Applicant Tracking System (ATS) integration. Whether directly, or through gateways like Greenhouse, systems integrated through open APIs can automatically trigger a workflow. For example, when you change the applicant in your recruitment system from 'offered' to 'offer accepted', this can trigger the required data to be sent from your system to Enboarder to start the workflow for your new hire.

Offboarding/Alumni Journey Linking:

To maintain connection with departing employees, you can now link a relevant Alumni workflow directly to an Offboarding journey. Within the workflow settings, configure the journey to automatically continue into the Alumni experience as/when appropriate.

(Note: Ensure the Alumni journey is active in your account to see this option in the linking menu.)

Onboarding/New Hire Enablement Journey Linking

You can now link a relevant role based New Hire Enablement workflow to an Onboarding journey so the employee's journey continues as/when appropriate.

The workflow must either be Onboarding or Onboarding (Frontline)

In the settings, scroll down and you will see an option labelled 'Link New Hire Enablement (frontline) journey'

Click the tickbox to enable and a dropdown will appear with applicable New Hire Enablement OR New Hire Enablement (frontline) workflows (those that match/align with the parameters defined in the ‘Logic’ tab of the ‘Edit workflow' modal.

Note: Only active workflows will be listed in the drop down. Also, if the selected new hire enablement workflow is made inactive (or deleted) after linking, it will not be launched.
