With updating to a work email, you could certainly use a Form to ask one of your participants what the new hires' work email is, but where's the fun in that!?
There is a multitude of ways to do this!
If your work emails are almost always the same layout, for example, first.last@yourcompany.com or similar, and you manually launch candidates, this way could be for you!
Note: This will work most of the time, but if your new hire's email exists with an existing employee, you may need to manually intervene. You could also do this via integration, but you'd need to create the custom field in your ATS or similar.
Custom field
In this example, let's look at using a Custom Field which you'll populate when you manually launch your candidate. This way, the email will be automatically updated on or around their first day!
Step 1: Start by adding a new Custom Field in General Setup > Custom fields.
You'll want to name it something like Employee Work Email, and it must be a Short Text field type.
Step 2: Enable this on your workflow. Hover your mouse over the workflow name, click the three dots, and then click edit.
Step 3: Click on Custom Fields and then simply check the custom field checkbox to enable the Employee Work Email custom field you just added. Finish up by clicking Next until you see the Save button and click it.
Once you've created and enabled the Custom Field on the workflow, you'll need to add an Update Value module to your Workflow to update this!
Follow the below steps to add your Update Value module around the start date.
Note: Ensure you place the module at a time frame where you are sure their work email has been created by your IT otherwise the email will bounce and suppress all future content).
Update value module
Step 1: Click the "+" button and select the Update value module in the Sequence where you'd like the work email to switch.
Step 2: In the Update This Field field - select: Profiles / Employee / Contact Details
In the With This Value field - select: Custom field / Work Email
When you click Add New People on the Workflow tab and enter the details of the new hire, depending on the workflow you've added this to, it will appear as the second data entry popup for you before you move to the manager details area.
