It is designed to ground the assistant's knowledge in trusted, company-verified content, ensuring all AI-generated answers are accurate and safe. Head to Settings > AI Document Library.

To populate the library, you can upload relevant company documents—such as the Employee Handbook, IT policies, payroll information, and internal knowledge bases—to the platform. By feeding these documents into the library, you enable the New Hire Assistant to become policy-aware and context-aware, allowing it to instantly answer new hires' questions using only approved, up-to-date company data, thereby reducing the risk of "hallucinations" and increasing trust in the AI's guidance.

3. Using the New Hire Assistant

The Assistant is accessible within your standard Enboarder onboarding or enablement experience.

  1. Access the Assistant: The Assistant interface is typically available as an in-line element or persistent chat icon within the new hire's workflow view.

  2. Ask a question: Input your question in natural language (full sentences work best).

  3. Receive immediate, contextual help: The Assistant draws from the journey's context and all company-approved documents available in your AI Document Library to provide a concise, task-focused answer.

  4. Follow guidance or escalate: The response will often include next best steps, resource links, or contact information for an internal stakeholder (HR, IT, manager) if escalation is required.

3. Trust, Security, and Boundaries

The AI Assistant is built with strict boundaries to ensure privacy and only shares company-approved information.

  • No Hallucinations: Answers are generated exclusively from verified company workflows and uploaded documents. If the answer is not in the knowledge base, it will state it cannot help.

  • Privacy First: It is designed never to reveal private employee data or other people’s information.

    • Example: Asking "How does my salary compare to my colleagues?" will result in a professional response indicating it cannot share private details.

  • Escalates Responsibly: For issues requiring judgment, coaching, or exceptions (e.g., manager performance issues), the Assistant redirects the new hire to the appropriate human partner (like an HR Partner).

  • Preservation of chat with user login: If the user moved away from a conversation, the previous chat is preserved.
