Syncing employee data between Enboarder and HRIS platform

Introduction

Our goal is to ensure a seamless integration between your HRIS and Enboarder, enabling smooth and intuitive journey delivery while keeping workflows accurate and up to date throughout the entire employee lifecycle. 🙌

At times, you may need to make changes in your HRIS—such as terminating an employee, adjusting a start date, or updating a manager assignment. Whatever the change, it’s important that it flows through correctly into their workflows to keep everything running as it should. 😃


Objective

This feature will:

  • Launch a workflow for a newly created employee in your HRIS

  • Update an existing employee in your HRIS system

  • Cancel a workflow of an employee terminated and last date set in HRIS system

We look to prevent workflows from being out of sync, minimise any time consuming manual intervention and potentially poor employee experiences.


Prerequisite

HRIS Workflow Management is part of our employee registry sync — so you’ll need to make sure that’s turned on first. If you’re not sure how to do that, just head over to our help page for step‑by‑step instructions here


Setting up HRIS Workflow Management

This feature is located in the Apps & Integrations section of Enboarder. Select your HRIS tile and this is what you should see:

Click the toggle for Enable HRIS workflow management and more options should now appear

Launch workflow for newly added profiles upon sync

When enabling this option, Enboarder will launch a workflow for an employee added to your HRIS.

Also in this section, it allows you to remove specific groups/teams/locations from a sync. For example, you may not want to exclude employees from a certain location.

Cancel workflows upon termination

This option will take into account any relevant changes to a employee’s status (ie; termination) in your HRIS and cancel any active Enboarder workflows.

Update active workflows upon change in manager

If you are making a change to a stakeholder, whether it's replacing the current stakeholder with another or updating their contact info in your HRIS, Enboarder will pick this up and make the change in the workflow.

Update active workflows upon change in key date

Enabling this option will ensure that any changes made to the key date (start date) in your HRIS, Enboarder will update this to make sure the workflow correctly reflects with your HRIS.
