How Do I Update A Key Date? (Start Date)

Your Workflow is made up of Sequences that are scheduled to trigger on specific days. All of this is dependent on a specific Key Date but what happens if you need to update one of these dates?

What is a Key Date?

Key Dates are the central point of your Workflow Builder, the point in time that you'll design content to trigger off of. The beauty of this is you can design for any journey - whether it be onboarding, offboarding, internal transfers, or Christmas parties! The Key Date is the focal point of your Workflows. You could think of it like this:

  • Key Date for Onboarding = Start Date

  • Key Date for Offboarding = Termination Date

  • Key Date for Internal Moves = First day in the new team

  • Key Date for Christmas Parties = The day of the festivities! 🎄

To update a Key Date in an active Workflow:

Step 1: Click on the Dashboard Tab
Step 2: Select the phase and workflow that the employee is in (eg. London Onboarding):

Step 3: Click on their name from the list:

Step 4: This will display a personalized timeline of their experience, and on the far right of that page you'll see the Main Info panel including their Key Date. Click the Key Date and select the new date. Don't forget to click Save!


Notifying participants of updates to the Key Date:

If you want to automate the process of notifying stakeholders of any changes to Key Dates when they happen, click the three dots on the Workflow name, click Settings and check the 'Notify participants of changes to Key Date' box like this:

This will send a notification advising of the updated date to any stakeholders who are a part of that workflow, and who have already received at least one sequence in that workflow will be notified.

Note: you must activate this setting prior to changing the start date in order for participants to be notified.
