Lifecycle Agents: Check-In and Activity Reflection

Turn employee listening from a static form into a personalized conversation, with agentic AI.

What are Lifecycle Agents?

A form gets you answers to the questions you thought to ask. Lifecycle Agents are two agentic AI experiences that start the conversation already knowing where someone is in their journey, then take it where the answers lead. Each conversation is distilled into a narrative summary for the manager and HR, with the key themes, blockers and recommendations. ✨

Lifecycle Agents work across every use case, from preboarding and onboarding through to internal mobility, learning and offboarding, taking on the asking and the listening a manager would otherwise have to do.


1. Setting up a Check-In

Check-Ins are added to a sequence using the AI Module, set to Check-In mode. You can use it in any workflow type.

  1. From the Workflow Builder, within the sequence you'd like to add it to, hover and click "Add Module" and select AI Module. You can also add Check-Ins with AI Journey Builder or AI Optimizer.

  2. Choose the mode Check-In. Heads up: the mode locks the first time you click Save. To use Coaching mode, add a new AI Module.

  3. Give the module a name, e.g. "Day 30 Check-In", and choose the participant: the employee, the manager or the buddy.

  4. Choose the conversation themes to cover:

    • Journey Progress: always on.

    • Readiness, Learning and Workflow Experience: on by default, can be turned off.

    • Sentiment: off by default, turn it on if you'd like it covered.

  5. Turn on Open Exploration (optional) to let the agent follow the conversation beyond the themes you selected. When it's off, the agent sticks to your chosen themes.

  6. Turn on Share Employee Feedback (optional) to share the summary with the manager and/or buddy, then pick which stakeholders receive it. This is only available in new hire sequences.

  7. Save the module. ✅

Running Check-Ins over time

  • Add multiple Check-Ins at different points in a journey. Each one picks up what the last one found.

  • Use AI Journey Builder to add a recurring cadence, or milestone-based Check-Ins for manager-led New Hire Enablement journeys.

  • A sequence can have up to 2 AI Modules, with a maximum of one in each mode.

TIP: Place Check-Ins at the moments your teams already care about, like the end of Week 1, Day 30 and Day 90. You'll see how confidence and sentiment change across the journey, not just at a single point in time.


2. The Check-In experience

  1. A personal opening: the agent greets the participant by name and references where they are in their journey. If they've had a Check-In before, it follows up on anything they raised last time.

  2. A natural conversation: there's no fixed list of questions. The agent asks follow-ups within the themes you've chosen.

  3. Wrapping up: the participant clicks Finalise check-in to finish, and the chat becomes view-only. A summary is only created once the Check-In is finalised.

If the participant moves to another module and comes back, the conversation picks up where they left off. If the session closes or times out before it's finalised, the Check-In starts again.

3. Setting up an Activity Reflection

Activity Reflection is added to a Content Module using the Readiness Check widget, so the reflection happens straight after the activity.

  1. From the Workflow Builder, open the Content Module you'd like to add the reflection to.

  2. Drag the Readiness Check widget onto the page. It sits under the button.

  3. Under Which check is this?, choose Reflection.

  4. Save the module. ✅

The participant launches the reflection from the module and has a short conversation with the AI about what they took from the activity and how they're feeling. Reflection facilitates and never evaluates, so there's no right or wrong answer.


4. Viewing summaries

Each finalised Check-In produces a narrative summary with:

  • Themes

  • Summary: a short overview of the conversation

  • Accomplishments

  • Blockers and Concerns. It's normal for these to be empty.

  • Resolved since last check-in (follow-on sessions only)

  • Recommendations

There's no numeric score: summaries are narrative only.

Where to find them:

  • The summary is shown against the sequence in the Workflow report.

  • Completion status is shown in the Heatmap report.

  • For New Hire Enablement journeys, managers also see summaries in the Manager Dashboard, along with what's needed from them.


5. Trust, privacy and boundaries

  • Grounded in your journey: the agent uses workflow data, earlier AI summaries in the same journey and your AI Document Library. It doesn't use the open web, and doesn't combine data across unrelated journeys.

  • Clear about sharing: summaries are visible to admins and managers with the right permissions. Managers and buddies only receive a participant's summary if you've turned on sharing.

  • Insight, not action: Check-Ins don't trigger workflows, tasks or escalations. They give your people the insight, and your people decide what to do.

  • Languages: conversations are available in English, German, French, Spanish and Polish. Other languages default to English.


6. FAQs

Can I write my own Check-In questions?
Not at the moment. You choose the themes, and the agent generates the questions and follow-ups.

Is the participant scored?
No. Summaries are narrative only.

What happens if someone leaves part-way through?
If they move to another module and return, they pick up where they left off. If the session closes or times out, they start again. No summary is created until the Check-In is finalised.

How is this different from L&D Agents?
Lifecycle Agents are about listening and insight across every use case. L&D Agents (Skills Coaching, Knowledge Check and Role Play) are about building and confirming job readiness.

Do AI Modules transfer between accounts?
Yes, as long as both accounts have Lifecycle Agents enabled. Otherwise, AI Modules are left out of the transfer and you'll see a warning.
