Workflow Tier

Written by Isaac Oke

Table of Contents

Introducing tier-based restrictions on how many different journey types you can have active at the same time. This helps you manage your journey program while ensuring your account aligns with your subscription.

This update also introduces several improvements to the Workflow Tree, making it easier to understand, organise, and manage your workflows.

How Journey type limits work

The limit applies to the number of different journey types that have active workflows — not the total number of workflows. E.g you can have multiple active Onboarding workflows. These count as one active journey type.

Your limits are based on your subscription tier:

Subscription tier Maximum active journey types

Follow the Market 1

Meet the Market. 2

Lead the Market Unlimited

Example:

If you're on the Follow the Market tier, you can have:

  • ✅ Multiple active Onboarding workflows

  • ❌ An active Onboarding workflow and an active Offboarding workflow at the same time

What happens if you reach your limit?

If activating a workflow would exceed your journey type limit, the activation won't proceed. Instead, you'll see a message explaining that you've reached your subscription limit.

From there, you can:

  • Close the message and deactivate existing journey types to free up capacity

  • Or select Express interest to notify your Customer Success representative that you'd like to discuss expanding your available journey types.

After selecting Express interest, you'll receive confirmation that your request has been sent and your Customer Success representative will contact you.

Existing customers

If your account already had more active journey types than your subscription allows when this feature was introduced, your existing active journeys will continue to run as normal.

However, you won't be able to activate workflows from any new journey types until your active journey types are within your subscription limit.

E.g. if you already have active Onboarding and Offboarding journeys on a Follow the Market subscription, both can continue running. However, you won't be able to activate an Alumni journey until one of the existing journey types has been completely deactivated.

Workflow Tree improvements

Along with tier-based subscriptions, we have added enhancements to help you manage your workflows more easily.

View your active journey type usage

At the top of the Active Workflows list, you'll see a counter showing how many journey types are currently active.

Examples:

  • Follow the Market: 1/1 journey types activated

  • Meet the Market: 2/2 journey types activated

  • Lead the Market: 3 journey types activated

When you've reached your limit, hovering over the counter displays a reminder that additional journey types require a higher subscription tier.

Journey type badges

Every workflow now displays a colour-coded journey type badge, making it easy to identify different workflow types at a glance. Badges appear on both active and inactive workflows

Journey type filters

You can now filter workflows by:

  • Journey type

  • Categories (within the Workflow Tree)

This makes it easier to find the workflows you're looking for, especially in larger workflow libraries.

A similar journey type filter is also available in My Assets for inactive workflows.

Helpful tooltips

  • An 'i' icon sits next to the top-left of the workflow tree lines. On hover it explains workflow logic.

  • An 'i' icon sits next to the default workflow. On hover it explains how a default workflow works.

Updated terminology

'Use case type' is renamed to 'Journey type' in Workflow Settings

FAQ

Does this limit the number of workflows I can create?

No. You can create and edit as many workflows as you like. The limit only applies to the number of different journey types that are active at the same time.

Can I have multiple active workflows of the same journey type?

Yes. Multiple active workflows of the same journey type count as a single active journey type.

What if I want to activate a different journey type?

You'll need to deactivate workflows from an existing journey type so your account is within its allowed limit.

Will deactivating a workflow affect participants who are already in it?

No. Participants who have already been launched into a workflow continue their journey as normal after the workflow is deactivated.

How do I increase my journey type limit?

When you reach your limit, select Express interest in the notification. Your Customer Success representative will be notified and will contact you to discuss your options.
